DRAFT — this text is waiting for approval and is not final.
EzzyBooks is an accounting and GST invoicing service for Indian businesses, run by Samurai Labs (“we”). This policy explains what we collect when you use the EzzyBooks website and the EzzyBooks Android app, why, who we share it with, and the choices you have.
What we collect
- Your account: your mobile number (you sign in with a one-time code sent to it), your name, and your email address if you add one.
- Your business and its books: the business name, GSTIN, PAN and address, your branches, and everything you record — customers and vendors with their contact details, items, invoices, bills, payments, vouchers, journals, stock and the reports made from them.
- Files you upload: your logo and signature, and bill photos or PDFs you scan.
- Your sign-ins and devices: the device type, model, operating system, app version, IP address and approximate city of each sign-in, so you can see where you are signed in and sign a device out. The app sends its version with every request so we can tell you when an update is needed.
How we use it
- To run the service: keep your books, compute GST, produce documents and reports, and keep your account secure.
- To send the messages you ask for: documents, statements and payment reminders to your customers on WhatsApp or email, and sign-in codes to you.
- To support you and fix problems. Our support staff can view a business only for a support request, and every such access is recorded.
We do not sell your data and we do not use it for advertising.
Who we share it with
- Amazon Web Services (India region) hosts the service and stores your data and files.
- When you scan a bill, the image is sent to Amazon Textract (to read the text) and Amazon Bedrock (to turn it into a draft). Every such transfer is logged. The result is only ever a draft that you review.
- Messaging providers deliver the WhatsApp, SMS and email messages you send.
- The GSTIN lookup provider receives a GSTIN you look up, to fetch its public registration details.
- Authorities, when the law requires it.
How long we keep it
Accounting books and GST records are kept for the period Indian law requires (8 years). Sign-in records are kept for 90 days. Unconverted bill scans are deleted after 90 days.
Your choices
- You can see and correct your details and your business details in the app.
- You can see every device signed in to your account and sign any of them out.
- You can ask us to delete your account at /delete-account.
